Groups & Weddings

These terms supplement Common Terms (00) and the conditions accepted before payment.

All policies · General terms · Privacy Policy

1. Contracted scope and event plan

The accepted proposal identifies the contracting customer, event, routes, dates, departures, return trips, stops, passenger and baggage needs, coordination services and total price. A wedding transportation booking does not include venue management, event production, catering, security, unlimited vehicle use or unrelated services unless expressly contracted. Airport legs also use the relevant provisions of document 03. Tours or rentals arranged for guests keep their own activity terms.

2. One master booking and payment responsibility

An event has one master booking even when the couple, guests or family make separate payments. Accepted payments reduce the event balance; they do not automatically create independent contracts. The identified principal customer remains responsible for the accepted unpaid balance, an obligation expressly disclosed before booking. Being a guest alone does not make someone liable for everyone else.

For Wedding & Event Transportation, the standard payment schedule is 50% to reserve and the remaining 50% one day before the event, unless the accepted quote expressly establishes a different schedule. The quote gives the exact calendar deadline. For a booking made after that deadline, the remaining amount is due at confirmation. Do not infer this schedule for unrelated tours or rentals.

3. Planner, organizer and authorization

The principal customer identifies who may request changes and approve additional costs. A planner may coordinate information but cannot confirm Omega’s availability or bind Omega to an unapproved route, vehicle or price. Guests may select only services authorized for the event. Requests for additional stops, schedules, passengers or services remain requests until Omega confirms feasibility, price and acceptance. Special requests are not guaranteed inclusions.

4. Passenger lists, access and capacity

Provide the passenger list, hotels, meeting points, baggage and accessibility or child-seat needs by the deadline stated in the event plan. Changes remain subject to capacity and confirmation. Seat counts do not guarantee equivalent baggage space; no passenger may exceed an authorized seating position. Omega checks both overall demand and simultaneous route and departure capacity. Large or complex events require individual operational approval; an online request is not automatic confirmation. Hotel, venue and access restrictions must be addressed before service.

5. Waiting and service extensions

Wedding and group transportation includes 15 minutes of courtesy waiting from the scheduled pickup time when the vehicle is ready at the agreed meeting point. If Omega arrives late, its delay is not deducted from that allowance or charged to the customer. The quote states the price of additional waiting before payment. Additional waiting, stops or extensions require availability and an authorized charge; the same time is not billed twice as waiting and an extension. The allowance is not permission to delay every departure without affecting later trips, and a scheduled return is not an unlimited on-demand shuttle. Airport arrivals follow their separately confirmed flight and waiting arrangement.

6. Nighttime surcharge

Wedding trips scheduled to start at or after 12:00 a.m. (midnight) during the event’s agreed nighttime return period carry a 20% surcharge on that affected trip’s transportation fare. The accepted itinerary identifies each affected trip; the surcharge is not applied to the entire event, unrelated services or coordination fees. A trip departing before midnight does not acquire the surcharge merely because it arrives after midnight. A customer-requested change into the nighttime period requires an updated price and acceptance; Omega’s own delay does not authorize an extra charge. No universal end-of-night hour is created here: the quote defines the event’s nighttime return schedule. Other group or airport services incur a nighttime charge only if expressly quoted before payment.

7. Changes, reductions and cancellations

The general cancellation policy in document 00 applies unless the accepted event agreement clearly discloses a different lawful policy before payment. Reserving vehicles and staff does not, by itself, create an undisclosed longer cancellation window or a nonrefundable deposit. Changes and reductions identify the affected trips and require confirmation of availability and any price difference. A guest’s nonattendance does not automatically cancel a vehicle that remains booked or remove the principal customer’s accepted balance obligation. Refunds identify the canceled items and corresponding payers, return to the original payment method where possible and do not reimburse the same payment twice. Statutory remedies and any applicable registered-contract requirements remain protected.

8. Safe operation and service interruptions

Follow driver instructions, use available restraints and keep passenger behavior safe. Guests may not demand speeding, overloaded vehicles or unsafe access to make up for a delay. Drivers and Omega may stop an unsafe operation while arranging an appropriate response. Weather, road closures and unprovided portions follow document 00; lack of planned resources is not automatically force majeure. A replacement must be suitable for the contracted need, and a material downgrade requires appropriate remedies.

9. Coordination, privacy and common terms

An Omega transportation coordinator is included only when contracted and only for the confirmed hours and transportation scope. This role does not replace the wedding planner. Guest itineraries, payment data and contact details are shared only as necessary for authorized coordination and under the Privacy Notice.
